Sharing your #AGU20 presentations on ESSOAr.org

Thank you to the approximately 20,000 researchers who presented their work at the 2020 AGU Fall Meeting. Live programming for #AGU20 may have ended, but content from the Fall Meeting will be available for attendees through the online platform until 15 February 2021.

AGU will be making some select presentations available publicly at a later date (with permission, as we usually do, for named lectures and some Union sessions), but most of the presentations from the Fall Meeting will not be made public by default. However, #AGU20 presenters and authors retain copyright of their presentations and posters, and can make their content public.

One way you can share your #AGU20 presentations is on the Earth and Space Science Open Archive (ESSOAr.org), a preprint and meeting presentation server led by AGU and other scholarly societies. Currently, ESSOAr classifies meeting presentations as “posters,” however this category encompass any full digital presentation that can be uploaded as a PDF file as noted below. An upgrade available shortly will better classify meeting presentations. Instructions for submitting #AGU20 content are provided below.

But first, if you are not familiar with preprint servers, including ESSOAr, they support open science and scholarship in a number of ways. Posting on preprints has been shown to accelerate science. Specifically, ESSOAr:

  • Provides a permanent archive for your preprints and presentations.
  • Assigns these a DOI and uploads the record to your ORCID profile.
  • Is indexed by search engines (e.g., Google and Google-scholar) to allow discoverability.
  • Allows for citation and credit in science and job applications. Many journals allow citations of preprints in appropriate contexts.
  • Allows linking to your grants and other shared resources such as the dynamic iposter or associated Jupyter notebooks, open data and open code.
  • Allows easy transfer and posting of manuscripts submitted for publication to AGU journals (other journals coming soon).
  • Allows you to select from a variety of licenses, from a limited-use license (where you, the author, retain all rights and any reuse is restricted), to a CC-BY license (where full reuse by others is allowed with proper citation), to other licenses (where reuse except for commercial purposes is allowed).
  • Allows revised versions to be linked to the same record.
  • For preprints, links automatically to the final published version if it can be identified using AI; or an author can explicitly link to it.
  • Is (and always will be) free to post and access content.
  • All content on ESSOAr is clearly labeled as a preprint and not having been through peer-review.

Sharing preprints and meeting presentations before publication is allowed and indeed encouraged by many major Earth and space science publishers, including all AGU and EGU journals, and many journals at Wiley, Springer Nature, AAAS and other publishers. Note that some journals do not allow this sharing; if in doubt, you can check here: https://v2.sherpa.ac.uk/romeo/search.html.

Here are some additional instructions for submission. In all cases, please read ESSOAr’s submission guide and FAQ for more information.

For Posters:

1.      If you participated in the #AGU20 Fall Meeting, you can transfer the title, author information, and abstract directly to ESSOAR, creating a draft record.

a.      Login to “presenters’ corner” (you have to be the “presenting author” to login).

b.      Scroll down and look for the 1-click transfer to ESSOAr.

c.       Select “Yes”

d.      Click the transfer button.

e.      You will shortly receive an email from ESSOAr with a link to complete your submission.

Clicking the link in the email will take you to your draft submission in ESSOAr.  To complete the submission:

2.      Verify that the transferred data are correct and updated.

a.      Remember that the abstract information was likely created in the summer. If the title, abstract or authors have changed, fill in or correct the additional information needed for the submission.

b.      IMPORTANT: The listed authors and their order in the ESSOAr.org record must exactly match those on the poster. You can add authors or adjust the order (by dragging each name) on the ESSOAr record. Any mismatch will lead to rejection and a request for resubmission. All authors are notified of a submission and the author metadata will form the DOI record.

3.      Upload your final poster as a PDF file by logging in to iPosters/amuze, then printing or saving your full iPoster as a PDF. The submission is not complete without uploading a full PDF version of the poster presentation.

4.      Make your iPoster public (you can do this regardless, as another way of sharing; this is managed through your iposter account)

5.      Add a supplemental link to the iposter URL, and to any other resources like datasets or Jupyter notebooks (on github).

6.      Click to complete the submission.

a.      The submission will be evaluated, and if it is complete and accurate, should be approved within a few days. We do have a high volume of submission associated with #AGU20, so be patient. ESSOAr has a number of editorial advisors led by Editor-in-Chief Jonathan Jiang.

If you are submitting a poster from a meeting other than #AGU20, visit ESSOAr.org. Then start a new record as a “Poster” (do not select preprint or your submission will be rejected).  If you don’t see the ESS meeting on the list of recent approved meetings, email: [email protected] with a description of the meeting. Meeting presentations should not be submitted as a “Preprint.”  Doing so will lead to rejection as the submission metadata will not be correct.

 

Meeting Presentations: 

For an oral presentation from #AGU20, follow the same instructions 1-2 as for posters, above, for 1-click transfer (this will be enabled soon in presenters’ corner):

3.      Upload your final presentation as a PDF file (PDF files are required as these are a widely accessible format and supported over time).  To create your PDF file:

a.      “print or save to a PDF file” from your full original presentation (powerpoint or google slides, etc.), not the 3-slide summary. b.      Reduce the file size as much as possible without losing resolution; aim for a few MB at most, if possible.

4.      You can also post the full recorded presentation you uploaded for the AGU Fall Meeting   to YouTube, Vimeo or another public video repository and add a supplemental link to it.

a.      Note that AGU is not making most presentations public by default or providing public access, so you should post your recording on a video repository if you want it to be public.

b.      Also add links to any other resources like datasets or Jupyter notebooks (on github).

5.      Click “Complete” to finalize the submission.

 

Preprints:

ESSOAr.org welcomes submissions of preprints (complete manuscripts) whether submitted to journals or in preparation.

1.      For AGU journals, during submission (or at any time) you can transfer the metadata and manuscript directly to a draft record on ESSOAr.org. The transfer includes the title, abstract, authors and funding information. You will receive an email with a link to complete the submission to ESSOAR.org. This feature will be coming to other participating journals soon.

a.      Or, start a new “Preprint” by uploading a manuscript. ESSOAr.org will try and read the manuscript, and identify and fill in the title and abstract. Coming in the first quarter of 2021, you will be able to submit to ESSOAr, then transfer the manuscript for submission to participating journals.

You will shortly receive an email from ESSOAr after the metadata transfer. In ESSOAr, after clicking the link in the email you receive, you will need to:

Things to avoid (that will lead to rejection of any submission type):

  • The author metadata must match exactly the list on the preprint or poster.
  • Posters or meeting presentations should not be submitted as a “preprint.”  They should be correctly linked to an approved meeting.
  • A full preprint or presentation must be attached as a PDF file.  A submitted file that is just a title slide or abstract will lead to rejection.

    I can’t see the “b. Scroll down and look for the 1-click transfer to ESSOAr.” to transfer my poster. Any idea of what I can be doing wrong?

    I clicked your link to ‘presenters corner’. It opened the AGU page with my login. There is no ESSOAR link to click. Can the instructions be improved? Thanks – Lynne
